Finishing Your Meetings

In this article, you will learn how to finish your meetings in Hypercontext workspace & what happens with each agenda item type

You have just finished having an amazing meeting with your team, you added your next steps, completed agenda items were checked off & summarized and now you are ready to finish this meeting. In this article, I will walk you through how to properly finish the meeting along with what happens to your agenda items, depending on the state that they are in.

Within your meeting agenda, there are a number of different states that an agenda item can be in. I want to walk you through each state and explain what happens when you finish a meeting with an item in each state.


1. Closed Item:

A closed item is quite simple, this is an agenda item that you have discussed and have marked as complete.

What happens when the meeting is finished?

With a standard closed item, when you select "Finish Meeting" all of the information for this item is captured and moved over to Past Meeting. This item is then removed from your agenda.


2. Closed Item With Completed Next Step(s):

If your agenda item has next steps that have been completed, the agenda item will automatically change to "Completed". You can always select the checkmark on the item if you would like to display the next step as completed, but you aren't ready to close off the item.

What happens when the meeting is finished?

If you have checked off your next step and have left your agenda item as "Completed" when you finish the meeting, the information will be captured and moved to the Past Meeting tab.

If you have completed the next step, but unselected "Completed" the item will remain on your agenda until checked off and will be moved to Past Meeting tab the next time the meeting is finished.


3. 1 (or multiple) Next Steps Are Open:

What happens when the meeting is finished?

If you have an agenda item with 1 or more next steps that are open when your meeting is finished, the agenda item will remain on your agenda until all next steps are completed. Once all next steps have been checked off, the next time the meeting is finished, the item will be captured and moved to the Past Meetings tab.


4. Open Item:

The meeting has ended and you, unfortunately, ran out of time. There is still an item on your agenda that you didn't have a chance to speak about and it remains open.

What happens when the meeting is finished?

This item will simply remain on your agenda until it has been closed. Once closed, the next time you finish your meeting it will be captured and moved to the Next Steps tab.


5. Recurring Items:

If you have an agenda item that you want to speak about each meeting, you will want to set that item as Recurring. Each time you finish your meeting, completed or not, your recurring item will remain.

What happens when the meeting is finished?

If you have checked off your recurring item, when you finish the meeting the system will capture the summary, any comments & completed next steps and moved that information over to the Past Meetings tab. Your agenda will retain the recurring item for the next meeting, however, it will be blank so that you can prepare for your next meeting.
